1. Who we are
Base Kamp is a hair and beauty studio, cafe and event space at 61 Chorlton St, Manchester, M1 3FY. We also run the Base Kamp software platform, which independent stylists use to take bookings, manage clients and hire chairs, and which clients use to book appointments.
In these terms, "we", "us" and "Base Kamp" mean Base Kamp. "You" means whoever is using the platform or our premises. "The platform" means our website, booking pages, dashboards and everything we host.
By creating an account, making a booking, or hiring a chair, you accept these terms.
2. Your account
- — You must be at least 18 to hold an account.
- — The details you give us must be accurate, and you must keep them up to date.
- — You're responsible for keeping your password to yourself and for everything done under your account.
- — Tell us straight away if you think someone else has got into your account.
- — One person, one account. Don't share logins.
3. The three kinds of account
The platform serves three groups, and different parts of these terms apply to each:
- — Clients book appointments, buy event tickets and join the cafe club.
- — Stylists are self-employed professionals who subscribe to the software and, on the Full Access plan, hire chairs at Base Kamp.
- — Partners hire the space to run events, workshops and masterclasses, and sell tickets through us.
You may hold more than one role on the same account.
4. Using the software
We grant you a personal, non-exclusive, non-transferable licence to use the platform for the purpose it's built for, for as long as your account is in good standing.
You must not
- — Copy, resell, sub-licence or white-label the platform, or any part of it.
- — Reverse engineer it, or try to get at the source code or the underlying data.
- — Scrape it, or use bots and automated tools against it.
- — Use it to send spam, or to contact other users' clients without their consent.
- — Interfere with it, probe it for vulnerabilities, or try to get into anyone else's account.
- — Upload anything unlawful, misleading, offensive, or that you don't have the rights to.
Availability
We work to keep the platform up, but we don't guarantee it will be available without interruption. We may take it down for maintenance, and we'll give notice where we reasonably can. We may add, change or remove features.
Your data
Your client list, bookings and service menu remain yours. If you leave, ask us and we'll give you an export of your data within 30 days of your account closing.
5. Stylist memberships
Stylists subscribe on one of two plans:
- — Software Only — the booking system, calendar, client records, payments and your public page, used wherever you work. No chair hire.
- — Full Access to Base Kamp + Software — everything above, plus the right to hire chairs at the Manchester studio and to take commission days.
Current prices are shown on the subscription page in your dashboard and on our chair hire page. We'll give you at least 30 days' notice before any price rise, and you can cancel before it takes effect.
Billing
- — Subscriptions are billed in advance, monthly or annually, to the card you have on file, and renew automatically.
- — Annual plans are paid up front for the year at a discount to the monthly rate. Annual payments are not refundable part-way through a term unless we've broken these terms.
- — You can switch between the two plans, and between monthly and annual billing, from your dashboard. Changes take effect as described at the point you make them.
- — If a payment fails, we may suspend your access until it's settled.
Cancelling
You can cancel your subscription from your dashboard at any time. Cancelling stops future billing; it does not refund the period you've already paid for, and it does not cancel chair days you've already booked — those remain payable.
Sign-up credits
Promotional credits such as a free chair day carry an expiry date, are personal to you, can't be exchanged for cash, and can be withdrawn if they're being misused.
6. Chair hire
Chair hire is available to stylists on the Full Access plan.
- — Booking a chair is a request. It's confirmed once Base Kamp approves it, or immediately if your account is set to auto-approve.
- — Flat-rate days are paid at the point of booking. The fee covers use of a chair for the advertised hours, along with basic amenities.
- — Chairs are assigned by us. We may move you to a different chair of equivalent standard.
- — You must hold your own public liability insurance and any qualifications your services require, and produce evidence on request.
- — You supply your own stock, tools and products unless we've agreed otherwise in writing.
- — You are self-employed. Nothing here creates an employment relationship, a partnership or an agency between us, and you're responsible for your own tax and National Insurance.
Rescheduling
You can move a booked day from your dashboard, subject to availability. Moving a day inside the notice window shown at the time attracts a rescheduling fee, which is a percentage of the day rate. The fee and the window are set by Base Kamp and displayed before you confirm.
Additional chair hire terms
Base Kamp may publish supplementary chair hire terms covering house rules, opening hours and studio practice. Those are shown to you when you book and form part of these terms.
7. Commission days
On a commission day you pay a reduced day rate, and Base Kamp takes an agreed percentage of every service you carry out that day.
- — Commission days are offered on selected days of the week, and there's a limit on how many commission chairs run per day.
- — There is also a limit on how many upcoming commission days any one stylist can hold at a time. The current limit is shown on the chair hire page.
- — Commission days are subject to approval, and may be withdrawn.
- — Services on a commission day must be priced at or above the published minimum hourly rate. We may decline a booking priced below it, or charge our share on the minimum rather than the discounted price.
- — A deposit is always required on a commission day. Clients must pay at least the published minimum percentage upfront, whatever your own deposit setting says. This protects the salon's share against no-shows.
- — Client payments on commission days are processed by Base Kamp. Our share is deducted and the balance is credited to your wallet.
- — If your average review rating falls below 4.0 stars across three or more reviews, commission days may be suspended until the issue is resolved.
8. Wallet, fees and payouts
- — Your wallet holds what you're owed on commission days, less our share and any fees.
- — You can request a payout once your balance reaches the published minimum. Payouts are reviewed and paid to your connected Stripe account.
- — On flat-rate days, client payments go directly to your own Stripe account. You're responsible for connecting it and keeping it in good standing.
- — Stripe's own terms apply to payments and payouts. We're not responsible for Stripe holding, delaying or reversing funds.
- — If your wallet goes into debit — for example after a refund or a chargeback — you must clear it. We may charge the card you have on file, and we may restrict your account until the balance is settled.
- — Keeping a valid card on file is a condition of holding a stylist account.
9. Bookings and deposits
For clients
- — Your appointment is with the individual stylist, not with Base Kamp, unless you booked a Base Kamp service directly.
- — Prices, durations and the deposit are shown before you confirm.
- — Where a deposit is taken, the balance is due on the day. If the stylist has auto-charge on, the balance is taken from the card you used.
- — Please arrive on time. Arriving late may mean a shortened service, or the appointment being treated as a no-show.
- — Tell your stylist about allergies, sensitivities or medical conditions before treatment. Patch tests are required for certain colour services.
For stylists
- — You set your own prices, services and deposit percentage, within the rules above.
- — New and edited services are reviewed by Base Kamp before they go live.
- — You're responsible for the service you provide, for your professional standards, and for honouring bookings you've accepted.
10. Cancellations and no-shows
- — Clients should give as much notice as possible. Individual stylists set their own cancellation policy, shown on their page.
- — Deposits are generally non-refundable where a client cancels at short notice or doesn't turn up.
- — If a stylist cancels on a client, any deposit paid is refunded in full.
- — Stylists cancelling a chair day may be charged, depending on notice given. Repeatedly cancelling on clients may cost you access to chair hire.
11. Refunds and chargebacks
If you're unhappy with a service, raise it with your stylist first, and with us if it isn't resolved. We'll look into it fairly.
Raising a chargeback with your bank instead of contacting us delays resolution for everyone. Where a chargeback is made against a commission-day payment, Base Kamp may recover the refunded amount and a chargeback fee from the stylist's wallet. The fee is published in your dashboard.
12. Your page and your content
Stylists get a public page for pictures, text, links and reviews. You keep ownership of what you upload. By uploading it, you give Base Kamp a non-exclusive, royalty-free licence to host, display and share it in order to run and promote the platform.
- — You must own the rights to everything you upload, or have permission to use it.
- — You must have your client's consent before posting a recognisable picture of them.
- — Profile pictures are reviewed by Base Kamp before they go live. We may decline one that isn't a clear, appropriate photograph of you.
- — We may hide or remove any content that breaks these terms, misleads clients, or brings Base Kamp into disrepute.
- — Don't post anything unlawful, hateful, explicit, or that infringes someone else's rights.
13. Reviews
Only clients with a completed appointment can leave a review, and each appointment gets one. Reviews appear on the stylist's public page.
We don't edit reviews to make them more flattering. We will remove one that's abusive, defamatory, obviously fake, or that reveals someone's personal information. Stylists must not offer anything in exchange for a review, or submit reviews of themselves.
14. Cafe memberships
- — Membership perks, allowances and any monthly limits are shown on the plan you choose.
- — Paid memberships are billed in advance and renew automatically until cancelled.
- — Perks are personal to you, can't be transferred, and unused monthly allowances don't roll over.
- — Perks are redeemed in person and confirmed by a member of staff.
- — You can cancel from your membership page. Cancelling stops future billing and doesn't refund the current period.
- — We may change the perks on a plan with reasonable notice.
15. Partners and events
- — Partner accounts are reviewed and approved before you can publish an event.
- — Events are booked against available dates and are subject to Base Kamp's approval.
- — The space is offered either as a full hire at a day rate, or on a commission of ticket revenue. Which applies, and the split, is agreed for each event.
- — Ticket money is collected by Base Kamp and released to you after the event, less our share and any fees, and subject to any minimum revenue hold.
- — You're responsible for running your event safely and lawfully, for your own insurance, and for anyone you bring with you.
- — Rescheduling and cancellation windows are set out when you book, and supplementary event terms shown at that point form part of these terms.
- — Ticket holders' contracts for entry are with the partner running the event.
16. Conduct at Base Kamp
Base Kamp is a shared space. Everyone in it — staff, stylists, clients, partners — is entitled to be treated with respect.
- — Harassment, discrimination, threats and abuse are not tolerated, and will end your access.
- — Keep your station clean and follow the studio's hygiene and health & safety rules.
- — Don't leave stock or equipment in the studio overnight unless we've agreed it. We're not responsible for personal property left on site.
- — Damage caused by you or your clients is chargeable to you.
17. Suspension and termination
We may suspend or close an account where these terms are broken, where payments go unpaid, where conduct puts others at risk, or where we're required to by law. Where it's reasonable to do so, we'll tell you why first and give you a chance to put it right.
You can close your account at any time. Anything you already owe — booked chair days, an outstanding wallet balance, fees — remains payable. We'll honour client bookings already taken where we reasonably can.
18. Liability
Base Kamp provides the platform and the premises. Stylists are independent professionals and are responsible for the services they carry out; partners are responsible for the events they run. Base Kamp is not liable for the quality or outcome of a service you book with an independent stylist, or for an event run by a partner.
To the extent the law allows, we're not liable for lost profit, lost business, lost bookings or lost data, and our total liability to you in any 12-month period is limited to what you paid us in that period.
Nothing in these terms limits our liability for death or personal injury caused by our negligence, for fraud, or for anything else that can't be limited by law. Your statutory rights as a consumer are unaffected.
19. Data protection
We handle personal data in line with UK GDPR and the Data Protection Act 2018. Our Privacy Policy explains what we collect, why, and what your rights are.
Stylists using the platform to hold client records act as data controllers for those records. You must handle your clients' data lawfully, keep it secure, use it only for the purpose it was given, and respond to their requests about it.
20. Changes to these terms
We may update these terms. For anything material we'll give reasonable notice by email or in your dashboard before it takes effect. Continuing to use the platform after that means you accept the change.
21. Governing law
These terms are governed by the law of England and Wales, and the courts of England and Wales have exclusive jurisdiction.
